Video Meeting configuration – Book My Calendar
Version 1.12 of Book My Calendar is released on 2025-08-29.
New in this version is that it is now possible to create the video link automatically in the booking that is created.
Book My Calender uses the same video meeting provider that is setup by the customer in SuperOffice.
Steps to use video meetings from Book My Calendar
First, this general settings needs to be done by a SuperOffice administrator
1. Setup video meetings in SuperOffice admin
2. Go to settings in the web panel Book My Calendar configuration

In company settings, you can see if video meetings is setup in SuperOffice

3. Go to the tab Lists. When video meetings is configured you will have a new option for each list choice

If the toggle is on, this means a video link will be automatically added to the meeting invitation to the customer. The text for the link can be edited in the field “Link text” (for example , you can change it to Join Teams Meeting if you prefer that format of the link)
Settings for individual users
For video meetings to work for at specific user a user authentication is required.
This is done by opening a new meeting dialog in SuperOffice, and press on the camera ikon.

The meeting does not have to be saved for the authentication to go through; it is possible to cancel the invitation after the configuration steps are done.
For customers already using video meetings where the user has already made at least one video invitation to a customer, this step is already done and they can start using video meetings from Book My Calendar right away.
Custom outbound messages
For each calendar, there is a possibility to configure custom outbound messages for the meeting. This email template is found here:

In this template the user can decide on the specific text and place for the video link in the invitation that is sent to the person that is booking the meeting

When will the teams link be visible for the customer?
The teams link will be created and sent to the customer if
• Video meetings is configured in SuperOffice
• There is a choice in the list “I would like to meet via” that is configured for creating video meetings
• The user have authenticated video meetings in SuperOffice
• The person booking the meeting make the choice in the field “I would like to meet via” that is configured for video meetings

If the teams link cannot be created, the meeting will be booked anyway, but there will be no link for the meeting.
